Personal Assistant to the Ambassador at the Royal Danish Embassy in Bucharest

The Royal Danish Embassy in Bucharest, Romania, is looking for a Personal Assistant (PA) to the Ambassador. This is your opportunity to join our great team of skilled colleagues working in the multicultural and flat-structured environment at the Embassy. The Embassy is part of the Danish Foreign Service under the Ministry of Foreign Affairs in Copenhagen. 

Job description

You will be part of the Department of Political Analysis, Public Diplomacy, and Culture, working closely together with the Danish Ambassador, the Deputy Head of Mission, and the Department of Administration.

Tasks and responsibilities include: 

  • General secretarial responsibilities, including protocol matters and diplomatic correspondence with Romanian authorities, other Embassies, and stakeholders.
  • Managing the calendars of the Ambassador and the Deputy Head of Mission, arranging meetings, appointments and transport.
  • Greeting visitors and directing them to the appropriate colleagues at the Embassy.
  • Organising and supervising functions hosted by the Ambassador or other colleagues at the Embassy and the Ambassador’s official residence, e.g. lunches, dinners, and receptions.

  • Establishing and maintaining effective relationships with a wide range of contacts in key offices across the public administration, in the private sector, and at other embassies.
  • Managing incoming/outgoing correspondence (postal/electronic) of the Embassy and ensuring correct filing in the Embassy’s archiving systems.
  • Making travel arrangements for the Embassy’s diplomatic staff.
  • Assisting with arrangements and coordination for various kinds of official visits and public diplomacy events.
  • Assisting in various tasks related to accounting, including travel settlements for the diplomatic staff and VAT reimbursements.
  • Other duties as required.
  • The working language at the Embassy is English.

 

About you

  • A service-minded person with good social skills, who is motivated by the outgoing nature of the position.
  • Excellent and documented communication skills, both written and oral, in English (preferably at B1 level or above) and Romanian (preferably fluently).
  • A mindful colleague with a positive attitude, motivated by being responsible for a variety of tasks.
  • Experience working with IT, particularly the Microsoft Office package.
  • Experience from related work tasks at a diplomatic mission/international organization or company is an advantage.

Selected candidates will be invited for an interview soon after deadline. The final candidate will have to pass the security clearance conducted by the Danish authorities, before the Embassy can formally offer an employment contract.

Expected starting date is 1 April 2025, depending on your availability and security clearance.
